This Privacy Policy explains how freelydesk collects, uses, shares, and protects information when you visit the website or use the freelance workspace.

Information we collect

We collect the information you provide when you create an account, log in, manage your profile, or use the workspace. This can include your name, email address, company details, address, client contact details, project notes, tasks, invoice records, time entries, public portal links, issue reports, and messages connected to client work.

We also collect technical information needed to run the service, such as authentication session details, device and browser information, pages viewed, referring pages, approximate location inferred from network data, and timestamps.

How we use information

We use your information to provide and maintain the workspace, authenticate users, save your client and project records, generate invoices and PDFs, provide client portal pages, process subscription access, troubleshoot issues, protect the service, and communicate important account or service updates.

We may use aggregated or de-identified information to understand product usage and improve performance, reliability, and user experience.

Billing and analytics

freelydesk uses Stripe to process subscriptions, payment methods, billing portal access, invoices, and payment-related events. We do not store full card numbers on our servers. Stripe handles payment information under its own privacy and security practices.

We use Google Analytics to understand how visitors use the public website and product pages. Analytics may use cookies or similar technologies to measure visits, page views, and engagement.

How we share information

We share information with service providers that help us operate the product, including hosting, database, authentication, analytics, email, and payment providers. These providers are allowed to process information only as needed to perform services for us.

We may disclose information if required by law, to enforce our terms, to protect the rights and safety of users or the public, or in connection with a business transfer such as a merger, acquisition, or sale of assets.

Client portal links

If you create a client portal link, anyone with that link may be able to view the project information, invoice information, time summaries, issue records, or other details intentionally exposed through that portal. You are responsible for sharing portal links only with intended recipients and revoking links when they should no longer be accessible.

Private workspace details that are not part of a portal view remain inside your authenticated workspace, subject to the security settings and access controls of the service.

Data retention and deletion

We keep account and workspace information for as long as needed to provide the service, comply with legal obligations, resolve disputes, prevent abuse, and enforce agreements. Some billing, security, and backup records may be retained for a limited period after deletion.

You can update or delete many workspace records inside the product. To request account-level deletion or access to personal information, contact us through the support channel provided for the service.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No online service can guarantee absolute security, and you are responsible for keeping your login credentials secure and using strong account practices.

If you believe your account or data has been accessed without authorization, contact us promptly.

Your choices

You may choose not to provide certain information, but some features may not work without it. You can manage billing through Stripe where available, revoke public portal links, and update workspace records in your account.

Depending on where you live, you may have legal rights to access, correct, delete, restrict, or object to certain uses of personal information. We will respond to applicable requests as required by law.

Changes to this policy

We may update this Privacy Policy as the service changes. If changes are material, we will take reasonable steps to notify users, such as by updating the effective date, posting a notice, or sending an account communication.
